How to Print Multiple Emails in Outlook?

Reading Time: 3 minutes

All MS Office users should be aware of the ways to print letters from Outlook. The classic app offers the possibility of reproducing mail attachments just from this mailing client. The step-by-step guide given below applies to all the latest Outlook versions, as well as to Microsoft 365 and online versions. Let’s move on to learn the particular ways to print your letters without a hassle.

How to print several files in Outlook at once?

Printing a letter can be useful when you need to take information with you, for example, in areas without a secure connection or on a road for not discharging your phone’s battery. Sometimes, you may just want to read the document in a printed version, make notes on a printout, follow a recipe, or just share it with someone easily without using your phone or computer. The process of reproducing emails in Outlook is similar to printing a Word document. If you need to print multiple docs, you can do so without opening each letter and initiate the procedure via the File menu. But this can only be done in the Outlook client and not in the app. Meanwhile, if you need to reproduce numerous documents from your mailbox, you may need the Outlook email database archive software. Now, let’s move on to the particular methods of printing your letters.

1)    Online app version

The web software offers a print function for each letter. To initiate the procedure:

  • Open the letter you wish to reproduce, then press More Commands (⋯) in the main menu;
  • Press to Print: the message opens in a new window and is formatted for printing;
  • In the Printer dialog box, choose the pages, the layout or orientation, and the number of copies, then click to confirm.

It is not possible to reproduce all file attachments just from the mailbox. You must first download each of them and process them separately.

2)    Desktop app version

Take these simple steps to reproduce a message using the desktop app mail client:

  • Open the letter, then go to Menu and press Print;
  • Alternatively, use the shortcut Ctrl + P on Windows or ⌘+P on a Mac to view the Print Menu file;
  • Click on the Print button to process the message immediately or choose the Print Options item;
  • Insert the number of pages or copies to reproduce, change the page setup, choose a printer, then click Print.

To reproduce the attached files, make sure Print Attachment Files is checked.

3)    Alternative modes

There are also two alternative ways to reproduce attached docs in the desktop application:

  • Open the email and right-click the attachment icon, then choose Quick Print from the drop-down menu;
  • Alternatively, click on the attachment, then choose Attachments—Quick Print. The attachment will be reproduced on the default printer.

You can also follow the below steps to print 2/4/8 short letters on one page in Outlook:

  1. In the Mail view, choose multiple messages and click File—Print. By holding the Ctrl key, you can pick multiple non-adjacent letters by clicking on them one by one; holding the Shift key, you can select multiple adjacent emails by clicking the first and last one;
  2. Go ahead to specify a printer, choose the File Memo Style option in the Profile Settings section, and then click the Print Options button;
  3. In the opened Print dialog box, please click the Page Setup button;
  4. Now you get into the Page Setup: Memo Style dialog box, go to the Paper tab, choose a page type in the Paper section, select one of the page sizes in the Page section, and click the OK button.

For instance, if you specify the paper style of the letter, you can reproduce multiple pages on one sheet of paper with the following page size:

  • 2 pages on one sheet: Half Letter, Wallet, or 1/2 sheet booklet;
  • 4 pages on one sheet: Pocket or 1/4 sheet booklet;
  • 8 pages on one sheet: 1/8 email booklet.

As you can see, printing Outlook letters is easy. Whether you want to print only one email with attached docs or several ones at once—you can use the above-mentioned methods.
